- Secondary requirements of position, as applic: Desirable to have experience, qualifications and familiarization with:
a. Training Establishment (TE) experience;
b. Excellent written and verbal communication skills;
c. Proficiency with MS Office 365, including SharePoint, Teams, and Planner;
d. Experience as an IMO, offering expert advice, oversight, and support;
e. Ability to develop IM guidance, direction, procedures, services, and training;
f. Understanding of evolving IM practices, including change management;
g. Skilled in collaborative tools for real-time editing and communication;
h. Knowledge of file naming conventions, retention policies, and metadata tagging;
i. Experience using SharePoint Lists, Forms, and D365 for automated workflows;
j. Ability to create training and awareness materials for new tools and practices; and
k. Familiarity with electronic forms and digital signatures.
- Basic description of duties: The IMO is responsible for the development and management of the Barker College Information Management Policy.
The IMO will also assist with the supervision of other IMO staff. The IMO has the authority to:
a. Serve as the unit's information management specialist;
b. Promote information stewardship and compliance with IM responsibilities;
c. Coordinate IM activities across the organization;
d. Report IM program progress to Cmdt and D/Cmdt;
e. Document IM lifecycle practices including accountability, privacy, and legal compliance;
f. Apply retention and disposition policies to all organizational information;
g. Train staff on IT systems use, monitoring policies, and privacy expectations;
h. Develop internal IM training and awareness programs;
i. Champion the use of SharePoint and MS Teams over network drives/local storage;
j. Promote standardized templates for key documents;
k. Maintain SOPs using collaborative tools (e.g., Loop, Lists) for tasking and reviews;
l. Implement periodic digital cleanups to maintain information hygiene; and
m. Ensure valuable information is retained in official repositories.
IMO is responsible for: This is a supervisory position in which the incumbent is responsible for assisting with the:
a. Management of the IMO Cell;
b. Ensuring that electronic systems are the preferred means of IM and that IM is enabled by a digital transformation approach; and
c. Ensuring that information assets are identified, managed, and stored in designated corporate repositories in compliance with security, privacy, and legal requirements, and that they are organized logically and systematically.
