- Basic description of duties: The Staff Officer to the CO/COS reports to the COS Coordinator and is responsible for supporting the HQ CO and COS in the execution of their administrative and operational responsibilities.
- Ensure all appointments, meetings, and events are scheduled, updated, and deconflicted in a timely manner;
- Receive and track staff work submissions (including LQAC), forwarding them to the CO/COS for review and action;
- Monitor the status of files, tasks, and correspondence, following up to ensure deadlines are met and deliverables are completed;
- Draft and send official correspondence (emails, letters, etc.) on behalf of the CO/COS for events, announcements, surveys, commemorations, and orders;
- Review and edit documents and presentations to ensure clarity, accuracy, and professionalism;
- Serve as a liaison with HQ personnel on behalf of the CO/COS, facilitating communication and information exchange;
- Support the mentorship of COATS personnel outside the formation by maintaining a current list of mentors and associated Terms of Reference (TORs);
- Maintain the unit's secondary duty list and associated TORs on behalf of the HQ CO;
- Coordinate and prepare meetings and briefings for the CO/COS, ensuring agendas, materials, and documentation are in place;
- Submit and track IT service requests for the CO/COS to ensure timely resolution of technical issues;
- Coordinate entry and exit interviews for staff transitioning in or out of the unit;
- Manage organizational tools including tracking systems and the formation battle rhythm, on behalf of the CO/COS;
- Assist with documentation and preparation for PMB's, PEB's and other key meetings;
- Collaborate with the Front Office Staff EA/SO to support various initiatives;
- Act as the administrative and financial agent for CO/COS section, managing commitments, tracking expenditures, supporting HR processes;
- Prepare the CO/COS for workplace committee participation including entertainment, health and safety and other internal initiatives;
- Support unit with functions including townhalls, honours and recognition, and other key engagements; and
- Develop and maintain SOPs and templates and manage recordkeeping for CO/COS and HQ documentation.

- Remarks: A. This is a permanent Cl B position with a continued engagement for a three year period. The applicant will be a Staff Officer within the Fmn HQ. Initially, they will be in the job of Staff Officer HQ CO/COS, but can expect to be assigned to other tasks and potentially fill another role within the Fmn during their period of service.
B. As per ref B, the member is responsible for contacting their home unit OR to request nomination for the REO. The home unit OR will conduct a staff check to ensure the member does not have any outstanding administrative or disciplinary action pending on their file prior to nomination. C. The employment of Regular Force annuitants is strictly controlled within the CAF and must be approved by the VCDS. This position is advertised as either an Option 1 or Option 2 Reserve Employment Opportunity; however, preference will be given to suitably qualified non-annuitant applicants. In the absence of a suitably qualified non-annuitant member, Regular Force annuitants will be considered and may be offered the position on an Option 1 basis with employment limitations on the number of days employed annually. Extension to annuitant employment periods require additional approval.
